SCANNER BUYING BRIEF

The best scanner starts with the destination.

Choose between USB, wireless and wired-network scanning by mapping the whole document workflow.

01

Map the document journey

Write down who scans, the document types, the destination and how staff will retrieve the file later. The real task includes preparation, naming, checking and filing, as well as passing paper through a scanner.

02

Check the application interface

If a records application calls a scanner through a specific driver standard, confirm support before comparing feeder size. The ScanSnap models in this collection use their own software; the Brother model documents a broader set of capture drivers. The individual reviews link the manufacturer references.

03

Choose a connection for the users

A USB-only scanner can suit one workstation. Wireless profiles can suit a different arrangement, while Ethernet may fit a managed office network. Decide how access, destinations and support will work in the intended environment.

04

Pilot a complete job

Use representative documents, including duplex forms and receipts. Check page order, legibility, OCR output and the destination permissions. Treat headline scan speed as a manufacturer rating, rather than a prediction of the whole job.

Put the checklist to work.
